From Chaos to Consistency: Designing an AI-Assisted Mark Entry & Analysis Workbook

A practical solution to a universal school problem. Built with deliberate prompting, ethical AI use, and the learner firmly in mind.

Inconsistency was costing teachers time and accuracy

Across a teaching staff with varying levels of Excel proficiency, every teacher was managing learner marks in their own way. Analysis that should have taken minutes was taking far longer, and with no standardised format, comparisons across classes were unreliable. Common pain points included accidentally deleting formulas, entering data in the wrong cells, and not understanding why calculations weren’t working.

A standardised, user-friendly workbook. Designed for every level

The goal was a single workbook that any teacher could pick up and use with minimal risk of error. Design prioritised clarity, structure, and guided data entry.

Key design principle: the workbook had to be editable and reusable by any teacher, in any class, regardless of their Excel experience.

How Claude Was Used

Claude was used throughout development. From formula creation and layout decisions to drafting in-sheet instructions. This required careful, iterative prompting for outputs that were functional and contextually appropriate.

Ethical use of AI

All prompts were crafted with data privacy in mind. No school names, learner names, or identifying information were shared with Claude at any point.

Testing understanding with Wayground

A short quiz was created using Wayground to confirm staff could use the workbook independently. It was designed and deployed in under 30 minutes, with immediate feedback and answer explanations.
